Recording Permissioning

Zoom unfortunately presents a limitation on all meeting bots wherein the meeting's host needs to present, and must approve recording before the bot can begin recording. The meeting's host is defined as the creator, or alternative host, of any given zoom meeting.

A meeting's host is presented with the following pop-up when a Clade Analyst joins a call. The host must approve this for the bot to record.

Q: How can I know whether the Clade Analyst is recording?

If the analyst has received the necessary recording permissions, it will appear in your zoom meeting with the "Active" tag on their zoom background.

If it hasn't received permission yet, it will appear "Paused"

Recording Permission Issues

Q: The host never received the recording permission pop-up, and the analyst remained in “Paused” mode. Why?

This can happen if the host is not properly set up as the meeting host. For recording to work, the following must be true:

Host Requirements:

  • The host must be the person who sent out the Zoom invite or was added to the Zoom as an alternative host.
  • The host must be signed in to the Zoom app with the same account used to create the meeting.
  • The host must be present during the call.

How to Confirm If the Host is Properly Set Up:

  • The host should see “End” (not “Leave”) on the bottom right corner of the Zoom window.

  • If the host sees “Leave” instead of “End,” it means they are either:
  • Not signed into the correct Zoom account, or
  • Not the host of the meeting.

If an Assistant Schedules the Meeting:

If your assistant creates the Zoom meeting with their account, they must either:

  • Be present on the call, or
  • Add you as an alternative host in their Zoom settings.

Analyst in Paused Mode

Q: The analyst remained in Paused mode and left within a few minutes. Why?

This usually means the host’s Zoom settings are blocking local recording or recording requests. Possible reasons include:

1. Local Recording is Disabled in the Host’s Settings
The host’s local recording setting may be disabled at the user or organization level.

How to Fix:

  • Enable the global user-level local recording setting in Zoom settings.
  • If this is an organization-level setting, contact your IT department to enable it.

2. Participants Are Not Allowed to Record Locally
The global local recording setting is enabled, but participants are not allowed to record locally.

How to Fix:
Go to Zoom settings and enable recording for:

  • Internal meeting participants
  • External meeting participants

3. Host Has Disabled Recording Permission Requests Within the Call
The host has the proper settings enabled on the Zoom website but has restricted recording permission within the meeting itself.

How to Fix:
While in the call, the host should enable the option to allow participants to request local recording.

Missing Transcripts

Q: The analyst was active on the call, but I didn’t get a transcript. Why?

If the bot didn’t generate a transcript, the host likely had meeting captions disabled.

1. Meeting Captions Are Disabled

How to Fix:
Go to Host Caption Control Settings while in a Zoom meeting.

Enable the setting called “Allow Closed Captioning” for the meeting.

2. Captioning is Disabled at the Account Level

How to Fix:
If the host doesn’t see the option to enable captions, they likely have the setting turned off globally.

Go to Zoom settings and enable Automated captions.

If this is an organization-level setting, contact your IT department for help.

Note: If captions are not available during the call, a transcript can still be generated asynchronously.

Recording Webinars

Q: I tried to record a webinar, but I couldn’t enable the bot. Why?

Unfortunately, Zoom webinars are not supported at this time.
